SAP Integration for Document Processing
Fluxity connects directly to SAP ERP Central Component (ECC) and S/4HANA to automate the flow of document data from extraction through posting. Instead of re-keying invoice details into transaction codes, Fluxity maps extracted fields to SAP’s data model and creates validated financial documents automatically.
The integration handles the complexity that makes SAP environments difficult to automate: multi-company code structures, inter-company postings, SAP number range assignments, and the strict validation rules that govern financial document creation. Documents are validated against your master data before they reach SAP, so exceptions surface in Fluxity rather than as posting errors in your system.
Integration Overview
For SAP ECC environments, Fluxity communicates through RFC (Remote Function Call) connections and IDoc interfaces. RFC calls let Fluxity invoke BAPIs directly — creating vendor invoices via BAPI_INCOMINGINVOICE_CREATE, looking up vendor master records, and validating cost center assignments against your organizational structure. IDoc-based flows handle scenarios where asynchronous document exchange is preferred, particularly for high-volume batch processing or when middleware sits between Fluxity and your SAP landscape.
S/4HANA environments benefit from SAP’s REST-based APIs and OData services. Fluxity uses these modern interfaces where available, falling back to RFC for operations that S/4HANA’s API surface doesn’t yet cover. This hybrid approach means the integration works regardless of where your organization sits on the ECC-to-S/4HANA migration timeline.
Multi-company posting is handled natively. Fluxity resolves the correct company code for each document based on your organizational mapping, applies the appropriate number range for document numbering, and handles inter-company scenarios where a single invoice triggers postings across multiple company codes. Each posting carries the full audit trail back to the original source document.
Supported Document Types
FI Invoices. Vendor invoices are posted as FI documents with full line-item detail — GL account assignments, tax code determination, payment terms, and baseline dates. Fluxity supports both PO-referenced invoices (with automatic goods receipt matching) and non-PO invoices routed through your GL account mapping rules.
Purchase Orders (MM). Purchase order data extracted from confirmation documents feeds into SAP’s Materials Management module. Fluxity maps line items to PO positions, validates quantities against open PO balances, and flags discrepancies before posting.
Freight and Logistics Documents. Bills of lading, carrier invoices, and delivery receipts are processed with carrier-specific field extraction. Freight charges map to the appropriate GL accounts and cost objects in your SAP cost accounting structure.
Credit Memos. Vendor credit memos are matched against original invoices and posted as credit documents in SAP with proper reference linkage. The integration preserves the relationship between credits and their source invoices for reconciliation.
Goods Receipt Notes. Goods receipt data from warehouse documents creates MIGO postings in SAP, supporting the three-way match between purchase order, goods receipt, and invoice. Fluxity validates received quantities against PO line items and flags over-deliveries based on your tolerance settings.
Data Mapping
Fluxity maps extracted document fields to their corresponding SAP objects and table fields. The mapping covers the core financial document structure and extends to cost accounting assignments.

Getting Started
Setting up the SAP integration follows a structured process that typically takes a few working sessions to complete, depending on the complexity of your SAP landscape.
- Configure the RFC or API connection. Establish connectivity between Fluxity and your SAP system. For ECC, this means setting up an RFC destination with the appropriate authorization profile. For S/4HANA, configure OAuth credentials and API endpoint access. Fluxity provides a connection test utility that validates the setup before you proceed.
- Map organizational units. Define how your company codes, plants, and purchasing organizations correspond to the entities Fluxity uses for document routing. This mapping determines which SAP company code receives each posted document and which number range applies.
- Set up cost center and GL mappings. Configure the rules that assign GL accounts, cost centers, and profit centers to incoming documents. Fluxity can import your existing account assignment rules or let you build them from scratch using document attributes like vendor, document type, or line-item description.
- Test with sample documents. Run a set of representative documents through the full pipeline — extraction, validation, and posting — in your SAP test or sandbox environment. Review the created documents in SAP to verify field mapping accuracy, tax calculation, and cost object assignments.
- Enable production posting. Once testing confirms accurate results, switch the integration to your production SAP client. Fluxity supports a gradual rollout: start with a single document type or company code, then expand as your team builds confidence in the automated workflow.
