QuickBooks Integration for Document Processing

Fluxity connects to QuickBooks Online to turn incoming documents into validated bills, expenses, and vendor credits. Invoices, purchase orders, credit memos, and receipts are extracted, matched against your QuickBooks vendor list, and created as transaction records with class, location, and department coding intact.

The integration uses the QuickBooks Online API with OAuth 2.0 authentication and respects your existing chart of accounts, vendor records, and tax settings. No file imports, no CSV templates, no copy-pasting between systems.

Integration Overview

Fluxity communicates with QuickBooks Online through Intuit’s REST API, using OAuth 2.0 for secure, token-based authentication. Tokens refresh automatically in the background, so there are no expired credentials to chase down. The connection scopes to the specific QuickBooks company you authorize, and permissions can be revoked from either side at any time.

When Fluxity creates a bill in QuickBooks, it does more than push line items. Each bill carries a vendor reference matched against your existing vendor list, account references validated against your active chart of accounts, and optional class, location, and department assignments for multi-dimensional reporting. If a vendor name on an invoice doesn’t match any QuickBooks record, Fluxity flags it for review rather than guessing or creating duplicates.

For companies using QuickBooks Online Plus or Advanced, Fluxity supports class tracking and location tracking at both the transaction and line-item level. This means a single bill can split costs across departments or profit centers the same way your team would code it manually—without the manual part. Tax codes, currency settings, and payment terms all carry through from the extracted document to the QuickBooks record.

Supported Document Types

Invoices & Bills

Extract vendor names, invoice numbers, line items, tax breakdowns, and payment terms from incoming invoices. Fluxity creates QuickBooks bills with full field mapping, including class and location assignments for multi-dimensional reporting.

Purchase Orders

Capture PO numbers, item details, quantities, and unit prices from purchase order documents. Extracted POs link to corresponding bills in QuickBooks, enabling matching workflows that catch quantity and price discrepancies before payment.

Credit Memos

Identify credit references, adjustment amounts, and original invoice numbers from vendor credit memos. Fluxity creates vendor credit records in QuickBooks with the correct apply-to relationships so credits offset the right open bills.

Expense Receipts

Parse receipt images and PDFs to extract merchant names, dates, amounts, and expense categories. Extracted data maps to QuickBooks expense transactions with account, class, and customer assignment for accurate cost tracking.

Sales Receipts

Extract customer details, item lines, payment methods, and tax information from sales receipt documents. Fluxity maps these to QuickBooks sales receipt records, preserving item references, income accounts, and tax code assignments.

Data Mapping

Fluxity maps extracted document fields to QuickBooks Online transaction fields. The default mapping covers standard bill and expense records. Custom field mappings can be configured for class tracking, location tracking, and departmental coding based on your QuickBooks subscription tier.

Getting Started

    Connect QuickBooks Online via OAuth

    Fluxity uses OAuth 2.0 to connect to your QuickBooks Online company. Click the connect button, sign in with your Intuit credentials, and authorize Fluxity to read and write transaction data. No API keys to manage manually — the OAuth token refreshes automatically and can be revoked from either Fluxity or your QuickBooks account at any time.

    Configure vendor matching rules

    Define how Fluxity matches extracted vendor names to existing QuickBooks vendor records. The default matching uses fuzzy name comparison and tax ID lookup, but you can add custom aliases for vendors whose invoice headers differ from their QuickBooks display names. Unmatched vendors are flagged for review rather than created automatically.

    Map classes and locations

    If your QuickBooks company uses class tracking or location tracking, map your Fluxity extraction categories to the corresponding QuickBooks classes and locations. This ensures that every bill and expense transaction carries the right dimensional coding for departmental reporting and profit-center analysis.

    Test with sample bills

    Upload a batch of real documents and review how Fluxity extracts, maps, and validates each one against your QuickBooks data. The test run highlights any field mismatches, missing vendor records, or inactive account references before you commit to live processing. Use your QuickBooks sandbox company if you prefer to keep test data separate.

    Enable automatic bill creation

    Switch to live mode and let Fluxity create bills in QuickBooks as documents are processed. You control which documents flow through automatically and which require manual approval based on vendor, amount threshold, or document type. Every created bill links back to the source document for a complete audit trail.
